Emergency Communication Best Practices

Emergency Preparation is extremely important for youth sports organizations and effective communication plays a key role in these efforts.

During this Maximize Demosphere session, we discussed how to create an Emergency Action Plan and how to best communicate with administrators, coaches, parents, and others as needed.

The session covered the following key topics:

  • Emergency Preparation – Does your organization have an Emergency Action Plan? What types of emergencies are covered as part of this plan? Is it easily accessible for members to review and understand their responsibilities?
  • Communication Components – First, make sure all contact information is up-to-date. If not, no communication method will be effective. From there, consider producing formatted contact lists for coaches and team managers so they have key information at their fingertips. Organizationally, if you need to send a message to the entire organization or just a subset, consider how you will send the message (email / text) and who is responsible for sending it.
  • Next Steps  – Depending on where things currently stand within your organization, developreview, and improve your plan. Make sure the communication methods are up-to-date and most effective based on today’s technology. Confirm that you have plans in place for multiple types of emergencies.
